job description
  • Welcoming and Greeting: Welcome visitors, clients, and employees in a friendly and professional manner. Provide assistance and direction as needed. Maintain a positive and hospitable atmosphere at the front desk area.

  • Phone and Email Management: Answer and direct incoming phone calls and emails promptly and professionally. Provide information, take messages, and relay important communications to the appropriate individuals within the organization.

  • Appointment Scheduling: Manage appointment calendars and schedule appointments for clients or internal staff. Coordinate meeting room bookings and ensure meeting arrangements are organized.

  • Visitor Management: Register and sign in visitors, issue visitor badges, and ensure security protocols are followed. Notify appropriate personnel of visitor arrivals and maintain visitor logs.

  • Administrative Support: Assist with general administrative tasks, such as sorting and distributing mail, managing courier services, ordering office supplies, and maintaining office equipment.

  • Customer Service: Handle customer inquiries, complaints, and requests courteously and efficiently. Provide accurate information and resolve issues promptly. Maintain a high level of professionalism and customer service at all times.

  • Communication and Coordination: Serve as a liaison between visitors, clients, employees, and various departments within the organization. Ensure effective communication and coordination of information and requests.

  • Records Management: Maintain accurate records, including visitor logs, phone call records, and other relevant documents. Ensure confidentiality and compliance with data protection regulations.

  • Front Desk Appearance: Maintain a clean and organized front desk area. Ensure reception area, lobby, and waiting areas are presentable and welcoming.

  • Emergency Response: Handle emergency situations calmly and follow established protocols. Initiate appropriate actions, such as contacting emergency services or notifying designated personnel.
