Project Overview
The Music: Arts and Culture Programme in Nepal is a collaborative initiative between Skathi Entertainment Pvt. Ltd. and the Embassy of Switzerland in Nepal, aiming to advance the professional development of young artists in Nepal. Focused on supporting underrepresented, disadvantaged, and marginalized groups, particularly women, the project facilitates workshops, residencies, mentorships, performances, and collaborative exchanges between Nepali, Swiss, and international artists.
The Project Coordinator (PC) will play a critical role in supporting the Project Manager (PM) in daily operations, ensuring the seamless execution of activities, and fostering the growth of Nepali artists in the music and entertainment sector.
Purpose and Objective of the Role
The Project Coordinator will assist the Project Manager in managing day-to-day project activities, ensuring timely delivery of milestones, and maintaining effective communication among internal teams and external stakeholders. The role emphasizes operational coordination, communication, and reporting to ensure the project’s success.
Key Responsibilities
Project Support and Coordination:
● Assist the PM in daily project operations and ensure alignment with strategic objectives.
● Coordinate logistics for events, workshops, and other activities, ensuring tasks are
completed on time and within budget.
● Support the development and management of project timelines, work plans, and
deliverables.
● Facilitate meetings and events, liaising with internal teams and external partners.
Stakeholder Engagement and Communication:
● Act as a key point of contact for team members and stakeholders to ensure smooth communication.
● Prepare and distribute progress reports, updates, and presentations for the PM and stakeholders.
● Ensure consistent communication regarding project milestones and challenges.
Administrative and Operational Support:
● Manage project documentation, including reports, contracts, and meeting minutes.
● Monitor project budget expenditures and maintain financial tracking systems.
● Prepare materials for events, workshops, and training sessions.
● Provide administrative support to the PM for smooth day-to-day project operations.
Monitoring and Evaluation:
● Assist in tracking project progress and monitoring activities against goals and KPIs.
● Evaluate the effectiveness of project activities and suggest improvements.
● Collect stakeholder feedback to enhance project processes and outcomes.
Collaboration and Team Management:
● Work closely with project team members to align with objectives and timelines.
● Provide guidance to junior team members and interns as needed.
● Foster positive relationships with all stakeholders to ensure effective collaboration.
Reporting and Documentation:
● Prepare regular progress reports and presentations for the PM and stakeholders.
● Ensure all documentation complies with legal and organizational standards.
Qualifications and Experience
● Bachelor’s degree in Business Administration, Project Management, Music Business, Arts Management, Communications, or a related field.
● Minimum of 2 years of experience in project coordination or similar roles, preferably in the music, arts, or entertainment industries.
● Knowledge of project management tools and techniques.
● Strong organizational skills with the ability to manage multiple tasks simultaneously.
● Proficiency in English and Nepali, both written and verbal.
● Experience in coordinating events, workshops, or training sessions is a plus.
● Familiarity with the music and arts sector in Nepal is advantageous.
