What is Cover Letter A letter that may be attached to a proposal in which a review group and institute is recommended. Individuals or organizations that may present a conflict of interest if they were to review your grant may also be mentioned.
Naveen and Meenakshi applied for the same job. They both were equally qualified, and each submitted their extremely good resume that emphasized accomplishments, training, positive work ethic and dedication.
Naveen included a general cover letter that sketched his career history. Just for saveing time, he used to send the same letter every job opening he looked at. On the other side Meenakshi puts more an more effort to improve her letter. She found out the name of the hiring manager and addressed him directly. Meenakshi researched the company and learned about its assignment, past performance, goals and corporate culture. She also studied the job description and clearly spelled out how she is an excellent match for that particular opening. Meenakshi backed up her claims by highlighting examples of her past success.
No Doubt, all the candidates were equally qualified, but meenakshi's extra effort landed her a job interview. praveen never got called.
Research Before You Write The more you know about the employer's needs, the more compelling your letter can be. Review company Web sites, brochures, sales flyers and other promotional materials. Speak with current employees to get the inside scoop. Search newspaper archives, public libraries and career-center resources. Do a keyword search using the company name and see what turns up.
Show your Unique Points With the knowledge that you have about the employer, how would you help achieve organizational goals? If there are 100 other candidates’ applying for the same post, why should the hiring manager take a chance on you? Make a list of top five reasons why you're an excellent candidate.
Make Your Letter different or impressive Heading/Date/Inside Address: If you are writing a traditional (not email) letter, select a standard business-letter format such as block style. Your letter's design should match your resume. Salutation: It's best to address your letter to a specific person (e.g., "Dear Ms. Gupta:"), but use “Dear Hiring Manager,” if there's no way to find that out. Use “Dear Search Committee:" if the decision will be made by committee. Avoid stale salutations such as "Dear Sir/Madam:" and “To Whom it May Concern.”
Opening Paragraph: Hiring managers are busy and do not care to wade through fluff. Your opening paragraph should clearly state the position for which you're applying. Include a reference code if requested and the referral source (e.g., recommendation from a current employee, YuvaJobs, etc.). Your opening may also include a synopsis of why you are a top candidate for the position.
Body: Your letter's body contains the sales pitch. This is your chance to outline the top reasons why you're worthy of an interview. When writing the body text, keep in mind that hiring managers are self-centered -- they want to know what you can do for them, not learn about your life story. Demonstrate how your credentials, motivation and track record would benefit their operation. Review your top five selling factors (the ones you jotted down when doing your company research) and weave them into the body, perhaps as a bulleted list. Back up achievements with specific examples of how your performance benefited current and former employers. Precede your bulleted list with a statement such as “Highlights of my credentials include:” or “Key strengths I offer include:.”Keep your letter positive and upbeat. This is not the place to write a sob story about your employment situation. Put yourself in the hiring manager's shoes - would you call yourself in for an interview?
Closing Paragraph: Your final paragraph should generate a call for action, so express your strong interest in an interview and state that you will follow up soon to confirm your resume was received and discuss the possibility of meeting face-to-face. Complimentary Close and Your Name:End with a professional close such as “Best regards,” “Sincerely” or “Respectfully yours.”
Do's and Don't's: Here are the keys to writing successful (and dynamic) cover letters. Follow these simple rules and you should achieve success in this important phase of job-hunting.
Do's
Do address your letter to a named individual.
Do send an original letter to each employer.
Do use simple language and uncomplicated sentence structure. Ruthlessly eliminate all unnecessary words. Follow the journalist's credo: Write tight!
Do write cover letters that are unique and specific to you, but if you're having troubles getting started, consider using our Dynamic Cover Letter Formula.
Do speak to the requirements of the job, especially when responding to an ad.
Do keep your letter brief. Never, Never more than one page, and it's best to keep it well under a full page. Each paragraph should have no more than one to three sentences.
Do tell the employer how you can meet his or her needs and contribute to the company.
Do distinguish your cover letter from those of other job-seekers by quantifying and giving examples that amplify and prove the claims you make in your letter.
Do try to answer the question that the employer will be asking while reading your letter: “Why should I hire this person?
Do avoid negativity. Negativity never has a place in a cover letter.
Do be sure the potential employer can reach you.
Do avoid the three most common cover letter mistakes. Letters addressed to job titles ("Dear Personnel Director") are poorly received, but even more disdained are those old chestnuts "Dear Sir or Madam" and "To whom it may concern."
Do use action verbs and Do use e-mailed cover letters, but keep them shorter and more concise.
Don't's
Don't ever send your resume without a cover letter.
Don't use a sexist salutation, such as “Gentlemen” when answering a blind ad.
Don't waste your first paragraph by writing a boring introduction. Use the first paragraph to grab the employer's attention; give the employer the reasons you are qualified for the position.
Don't use such clichés as “Enclosed please find my resume” or “As you can see on my
resume enclosed herewith.” Employers can see that your
resume is enclosed; they don't need you to tell them. Such trite phrases just waste precious space. And don't use pleonasms (wordy phrases), which also waste space.
Don't depend on the employer to take action, Request action, Request an interview, and tell the employer when you will follow up to arrange it. Then, Do So. It is imperative that you follow up. You will greatly increase your chances of getting interviews if you call the employer after writing instead of sitting back and waiting for a call. Those who wait for the employer to call them will generally have a long wait indeed.
Don't send a cover letter that contains any typos, misspellings, incorrect grammar or punctuation, smudges, or grease from yesterday's lunch.
Don't rehash your resume. You can use your cover letter to highlight the aspects of your resume that are relevant to the position, but you're wasting precious space -- and the potential employer's time -- if you simply repeat your resume.
